Who we are

JLN Flooring Ltd (“JLN”, “we”, “us”) is a commercial flooring contractor registered in England & Wales, company number 13852035. We are the data controller for the personal information described in this policy.

What we collect

• Enquiries: when you use our quote form, we collect your name, email address, phone number (if given), site postcode or area, company and sector (if given), project details and any photo or drawing you attach.
• Emails and calls: the details you choose to share when you contact us directly.
• Website use: if you accept analytics cookies, Google Analytics records how the site is used, such as pages viewed, approximate location, device type and which buttons are clicked. See Cookies below.

Please don’t include sensitive information, such as health details, in the form or in photos.

How we use it and why

• To reply to your enquiry, survey the site and prepare a quote. This is necessary to take steps at your request before entering into a contract, or is in our legitimate interest in responding to business enquiries.
• To carry out and manage the work if you go ahead, under our contract with you or your organisation.
• To understand and improve our website, using Google Analytics only with your consent.
• To keep records we are required to hold by law, such as accounts and tax records.

We do not sell your information or use it for marketing mailing lists. We do not make automated decisions about you.

Who we share it with

We only share information with service providers who help us run the business, and only as far as needed:

• Netlify, Inc. hosts this website and receives and stores quote form submissions.
• Google provides Google Analytics, only if you accept analytics cookies.
• Our email and IT providers, which hold the enquiry emails we receive.
• Suppliers or subcontractors, where needed to price or carry out your project.

Some of these providers are based in, or process data in, the United States. Where information leaves the UK, we rely on the protections available under UK data protection law, such as the UK-US Data Bridge or the UK’s approved International Data Transfer Addendum.

We may also share information if the law requires it.

How long we keep it

• Enquiries that don’t lead to work: up to 12 months from our last contact, then deleted.
• Customer and project records: for as long as needed to complete the work and meet warranty, legal and accounting requirements, normally up to 7 years after the project ends.
• Google Analytics data: 14 months.

We ask before setting any analytics cookies. If you choose Accept analytics, Google Analytics sets these cookies:

Your rights

Under UK data protection law you can ask us to:

• give you a copy of the information we hold about you
• correct information that is wrong or incomplete
• delete your information
• restrict or object to how we use it
• transfer it to you or another organisation, where this applies

You can withdraw consent for analytics at any time. To make a request, contact us using the details above. We will respond within one month.

Complaints

If you are unhappy with how we have handled your information, please contact us first so we can put it right. You can also complain to the Information Commissioner’s Office (ICO) at ico.org.uk/make-a-complaint or on 0303 123 1113.

Changes to this policy

We may update this policy from time to time. The date at the top shows when it last changed.
